Privacy policy

Effective September 21, 2026

This policy explains what the Apex portal collects, how we use it, and how we protect it. It covers the portal at portal.apexcas.com and its connection to QuickBooks Online.

Who we are

The Apex portal is run by Apex CAS & Consulting ("Apex", "we", "us"). We are an accounting and advisory firm. We use the portal to share financial dashboards with our clients.

What we collect

  • Account details: your name, email address, and the organization you belong to. We use these to sign you in and show you the right dashboard.
  • QuickBooks reports: when an administrator connects a QuickBooks company, the portal reads reports such as profit and loss, balance sheet, cash flow, money owed by customers, bills owed to vendors, and sales by customer and by item. It also reads basic company details, such as the company name.
  • Sign-in records: the time of sign-ins and basic technical logs we need to keep the portal secure and working.

Read only

The portal only reads from QuickBooks. It never creates, changes, or deletes anything in your QuickBooks company. It asks QuickBooks for the accounting permission only.

How we use your data

  • To build your financial dashboard: a small set of key numbers, reviewed by a person before your team sees them.
  • To keep the connection working, and to find and fix problems.

We do not sell your data. We do not use it for advertising. We do not share it with anyone outside Apex, except the service providers that host the portal for us, and only so they can run it.

No AI on your accounting data

Your QuickBooks data is never sent to an artificial intelligence or machine learning service, and it is never used to train one. The part of the portal that reads QuickBooks is kept apart from any AI features by design.

How we protect it

  • The keys QuickBooks gives us to read your reports are encrypted (AES-256) before they are stored. The encryption key is kept separately from the database.
  • Everything is sent over encrypted connections (HTTPS).
  • Each organization can only see its own data. This is enforced in the database, not only on the screen.
  • Only Apex staff who work on your account, and people in your organization who have been given access, can see your dashboard.
  • Our data is stored with hosting providers in the United States.

How long we keep it

  • Copies of QuickBooks reports: deleted after 90 days.
  • Dashboard numbers: kept for up to 13 months, then deleted.
  • When you disconnect from the portal, we delete the stored QuickBooks keys and the report copies right away. When you disconnect from inside QuickBooks, we delete them within one day.
  • When you disconnect, or ask us to, we delete the rest of your QuickBooks data within 30 days.

Your choices

  • You can disconnect the portal at any time, from the portal or from the Apps area of QuickBooks.
  • You can ask for a copy of your data, or ask us to delete it, by emailing jacob@apexcas.com.

Changes to this policy

If we change this policy, we will post the new version on this page with a new effective date. If a change is important, we will also tell the people who manage your account.
